Selfie Wi-Fi: Photos Not Uploading

If guests scan the QR code, take their selfie, hit upload, and the photo never shows up in the gallery — or shows "404 Page Not Found" — this article walks through the fixes in order of likelihood. Most cases resolve in a minute or two.

Quick Diagnostics

  1. Confirm the event is active. A common cause: the Cloud event ended (date passed) and the gallery URL now returns 404.
  2. Test the upload yourself using your own phone on the same Wi-Fi guests are using. Reproduce the failure before troubleshooting blindly.
  3. Check the moderation queue. If moderation is enabled, photos sit waiting for approval and never reach the public gallery on their own.
  4. Look at the venue's Wi-Fi. Hotel and conference Wi-Fi often blocks uploads with captive portals.

Common Issues

Problem: Gianni Gibbs reported this in January 2026 -- "I just had an event and none of the individual text links and gallery links are working. The page where the photos are supposed to be says '404 error, page not found.' I have SMS sending and gallery access allowed. It worked when I was testing the day before the event but not the day of."

Cause: The Cloud event has reached its end date/time. Once an event ends, the gallery and individual photo links return 404 even though the photos exist on the back end.

Solution:

  1. Open cloud.fotomaster.com and find the event.
  2. Edit the event and adjust the Start Date to today and the Duration to at least 24-48 hours past the actual event end so the gallery stays live for guest downloads.
  3. Save the event. Test the gallery link.
  4. As a best practice, set every event's duration to the longer of: actual event duration + 7 days, or until the client confirms they have downloaded everything.

Tip: Galleries are tied to event duration. If a client wants permanent access, set the event end date far in the future.

Problem: Guests successfully upload a photo on their phone (they see a confirmation), but the photo never appears in the public gallery.

Cause: Most likely candidates: (1) moderation is enabled and the photo is awaiting approval, (2) the device running the Selfie Wi-Fi software is offline or out of sync with the Cloud, or (3) the photo failed server-side processing.

Solution:

  1. Check if moderation is enabled in the Selfie Wi-Fi settings. If yes, log into the Cloud, open the event's moderation queue, and approve the pending photos.
  2. Check the device running Selfie Wi-Fi software. It must be online and connected to your Cloud account. If it has been offline, it cannot pull new uploads down for printing or display.
  3. Check the Cloud gallery directly via cloud.fotomaster.com -- the photo may already be there and just not displayed on the on-site monitor.
  4. Wait 30-60 seconds. Server-side processing (compression, AI, metadata) can delay appearance briefly.

Captive Portal / Hotel & Conference Wi-Fi Blocks Uploads

Problem: Guests successfully open the QR code page, take a photo, hit upload -- and nothing happens. The upload silently fails or hangs forever.

Cause: The venue's Wi-Fi requires guests to log in through a captive portal (a "Welcome to [Hotel] Wi-Fi -- accept terms" page) before any web traffic works. Phones that haven't authenticated can load some pages but cannot complete uploads to fotomaster.com.

Solution:

  1. Test with your own phone on the venue Wi-Fi before the event starts.
  2. If a captive portal exists, instruct guests to accept the venue terms before scanning the QR code. Add a sign at the booth: "Please join [Network Name] Wi-Fi and accept the terms before scanning the QR code."
  3. Bring your own router or hotspot as a backup -- a 5G hotspot from your phone will bypass the venue's captive portal entirely.
  4. For hotel events, ask the venue's IT contact in advance to whitelist cloud.fotomaster.com on the guest network.

Phone Permissions Block Camera or Storage

Problem: A guest's phone shows the upload page but the camera does not activate, or the photo does not save before upload.

Cause: The browser does not have camera or storage permissions on the guest's phone.

Solution:

  1. The guest should tap Allow when prompted for camera access. iOS Safari and Android Chrome both prompt on first use.
  2. If they previously denied permission, they need to:
    • iOS: Settings > Safari > Camera > Allow
    • Android Chrome: chrome://settings > Site Settings > Camera
  3. Have the guest reload the page after changing permissions.

File Size or Format Not Supported

Problem: Photos taken on a high-end DSLR and uploaded through a separate channel fail to process.

Cause: Selfie Wi-Fi accepts JPG and PNG files. Maximum supported dimensions are 9000 x 9000 pixels. Files exceeding this fail silently.

Solution:

  1. For DSLR files, resize/compress before uploading. 4000 x 3000 pixels is plenty for any practical use.
  2. Convert TIFF, RAW, or HEIC files to JPG or PNG before upload.
  3. If file size is causing slow uploads on weak Wi-Fi, compress to under 5 MB per photo for faster transfer.

Moderation Queue Holding Back All Photos

Problem: Moderation is enabled (often unintentionally), and every uploaded photo waits for approval before appearing.

Cause: Moderation toggle was left on from a previous event, or was enabled by default.

Solution:

  1. In the Cloud, open the event and check the Moderation setting.
  2. If you want all photos visible immediately, disable moderation.
  3. If you do want moderation, train one staff member to monitor and approve photos in real time during the event.

Pre-Event Checklist

  • Event date/duration extends past expected end of event
  • Moderation set as desired (and someone is assigned to approve if on)
  • Wi-Fi tested from your own phone on the venue network
  • Captive portal handled with backup hotspot if needed
  • QR code printed clearly and prominently displayed
  • Test SMS delivered to your own phone
  • Cloud account in good standing (credits available, no expired licenses)
