What Guest Data Does Foto Master Collect?

When you run a Foto Master event, guest data may be collected depending on the sharing and survey options you enable. The types of data collected include:

  • Photos and videos — captured during the session
  • Email addresses — collected if guests choose email sharing or enter their email in a survey
  • Phone numbers — collected if guests choose SMS sharing
  • Survey responses — any answers to survey questions you configure

Data collection is controlled by the options you configure in your Foto Master Cloud event settings and/or in the software running on your Windows, Mac or iPad device. If you disable email sharing, SMS sharing, and surveys, no personal contact data is collected. In that case, only the photos or videos are created. You may also choose to disable photo sync. If photo sync is disabled, event photos will not be synced to Foto Master Cloud.

Where Data Is Stored

Guest photos, videos, contact details, and survey responses may be stored in Foto Master Cloud depending on your event settings. As the event operator, you control the retention of your event content. You decide when event content should be deleted from your Cloud account.

Your Responsibilities as an Operator

When you collect guest contact data (email, phone number), you are the data controller for that data. This means:

  • You should inform guests that their contact information will be used to deliver their photo
  • If your client wants to use the data for marketing, you should obtain explicit consent from guests at the event (this can be done via the survey step)
  • You should comply with applicable privacy laws (GDPR in the EU/UK, CCPA in California, etc.) regarding the use and retention of personal data
Foto Master provides tools to help you manage consent, including built-in disclaimers, editable disclaimer text, and consent checkboxes that can be configured for your event.

GDPR and Guest Deletion Requests

If a guest requests deletion of their data:

  1. Open the event in Cloud.
  2. Find their session in the Gallery.
  3. Delete the specific session/photo.
  4. If needed, you can also delete the entire event to remove all event content associated with that event.
Deleting the full event will remove the event’s photos, videos, gallery content, and related event data. This action cannot be undone, so make sure to export or download anything you may need before deleting.

Advanced On-Premise Sharing Options

Some Foto Master desktop software products may also allow advanced users to configure on-premise sharing options for email or SMS. With this setup, sharing can be handled through the operator’s own local or third-party systems instead of using Foto Master Cloud sharing services. This may be useful for customers with specific privacy, security, compliance, or internal IT requirements. Availability depends on the specific Foto Master software product, configuration, and supported sharing method.
