Contact Details and Data Controller Access
Foto Master Cloud can store guest contact details when an event workflow collects email addresses, phone numbers, survey fields, sharing recipients, or consent values. Access to full contact details is restricted so event operators can separate normal gallery or sharing work from data-controller responsibilities.
This article explains the public Cloud controls. It is not legal advice.
Normal Contact Detail Access
In normal event views, Cloud shows the contact details that are appropriate for the selected workflow and permissions. For example, you may see email or SMS recipients used for sharing, or survey/contact fields where the guest provided the required approval.
Use normal access for routine event operations such as:
- Checking whether a guest received a gallery link.
- Reviewing submitted survey responses.
- Confirming sharing or communication activity.
- Exporting client-approved event data.
Full Contact Details
Some event views include a Show full contact details control. This can reveal entries that may not include marketing approval or may otherwise require a stronger operational reason to view.
Before enabling full contact details, Cloud asks you to confirm that you are acting as the data controller, or on behalf of the data controller, for that event data.
Use this only when there is a legitimate need, such as:
- Responding to a guest support request.
- Completing a client-approved operational export.
- Investigating delivery or submission issues.
- Handling a data access or correction request.
Do not use full contact details for marketing unless the required marketing consent exists.
Data Controller Confirmation
When Cloud shows a data-controller confirmation dialog, read it carefully before continuing. The confirmation records that you understand the responsibility for viewing and handling the expanded contact data.
If you are unsure whether you should access the data, check with the event owner or your privacy/legal advisor before continuing.
How to Use the Control
- Open the Cloud event.
- Go to the event area that contains contact, survey, sharing, or recipient data.
- Enable Show full contact details if the control is available and needed.
- Review the confirmation dialog.
- Confirm only if you have the authority and reason to view the expanded data.
- Disable the control again when the task is complete.
Best Practices
- Keep exports limited to the fields the client actually needs.
- Treat contact exports as sensitive files.
- Do not combine operational contact data with marketing lists unless consent allows it.
- Recheck the selected event before exporting or reviewing contact details.
- Use survey exports and gallery reports instead of full contact access when those views already contain the needed information.
